AI is everywhere — but what is it?
Open any newspaper, scroll any social feed, sit in any business meeting — someone is talking about AI. Artificial intelligence. It's being called the biggest technological shift since the internet. Some people say it will change everything. Others say it's mostly hype.
The truth, as usual, is somewhere in the middle. And the reason most people can't find that middle ground is that nobody has explained what AI actually is in plain English.
So let's do that right now.
AI is software that has been trained to recognise patterns — and then use those patterns to make predictions, generate responses, or take actions. That's it. Everything else is detail built on top of that idea.
How does it actually work?
Traditional software follows rules you write explicitly. You tell it: if this happens, do that. Every outcome is programmed in advance by a human.
AI is different. Instead of following rules, AI learns from examples. You show it millions of examples of something — emails, images, conversations, chess games — and it gradually figures out the patterns. Then, when you give it something new, it uses those patterns to predict what the right answer probably is.
Think about the autocomplete on your phone keyboard. When you type "Happy birth—", your phone suggests "day" because it has learned from thousands of times people typed that phrase. That's a tiny version of what AI does. Modern AI does the same thing, just with vastly more data, vastly more computing power, and vastly more sophisticated pattern matching — across language, images, audio, code, and more.
When you type a question into ChatGPT or Claude, the AI isn't "thinking" the way you do. It's doing incredibly sophisticated pattern matching across billions of examples of human language — predicting, word by word, what a helpful, coherent response would look like based on everything it was trained on.
AI doesn't "know" things the way you know your own name. It has learned statistical patterns from enormous amounts of text. When it gets something wrong — and it does — it's because the pattern matching produced a plausible-sounding but incorrect answer. This is called a hallucination, and it's the main reason you should always sense-check important AI outputs.
Not all AI is the same
When most people say "AI" today, they usually mean one specific type — generative AI. These are tools like ChatGPT, Claude, Copilot, and Gemini that generate text, images, code, or audio in response to prompts.

Use AI as a very capable first-draft machine and a tireless assistant for research, writing, and thinking. Always apply your own judgement before acting on anything important. AI speeds you up — it doesn't replace your expertise or responsibility.
What does this mean for your business?
You don't need to become a technical expert to benefit from AI. The tools available today are designed to be used by ordinary people in ordinary business situations. A few genuinely useful starting points:
Writing and communication. Drafting client emails, proposal documents, social media posts, or website copy takes a fraction of the time when you use AI as a starting point. You describe what you want, get a draft, then edit it in your voice.
Research and summaries. If you need to understand an unfamiliar topic quickly — a new market, a legal term, a competitor — AI can give you a solid plain-English overview in seconds. Always verify anything important, but it dramatically accelerates your starting point.
Customer communication templates. Frequently asked questions, standard responses, follow-up emails — AI can help you build a library of professional templates tailored to your business.

AI will not run your business for you. It will not replace the relationships, expertise, and judgement that make your business yours. But used well, it can make you meaningfully faster and more capable at the tasks that take up your time — especially writing, research, and communication.
Should you be worried about AI?
This is the question under most conversations about AI, so let's address it directly. The dramatic headlines — AI taking every job, AI becoming conscious, AI posing existential risks — are real debates happening among serious people. But they are not the conversation relevant to your business today.
What is relevant today is much simpler: people who use AI effectively will be faster and more capable than people who don't. That's the practical reality of right now. Learning to use these tools well is a genuine competitive advantage — not because AI replaces what you do, but because it handles more of the routine parts so you can focus on the parts only you can do.
